Chair guidelines

Your contribution as chair is important to ensure a smooth session with a lively discussion. Part of your task as chair will be:

  • Introduction of the speakers
  • Coordinate the Q&A after each lecture. Note: A tablet will be available on-site to receive incoming questions from the livestream audience.
  • To ensure the session is on track

We kindly ask you to arrive at the assigned meeting room 15 minutes before the start of the session to meet your co-moderator and speakers. Speakers should take place in the front row seats to allow smooth transition from one talk to another.

Speakers have uploaded their presentations in advance via the Speaker Slide Center (Sala 1A) at the venue. AV technicians will assist all sessions in the back of the meeting room.

Please read the steps below carefully.

Before the Session

Arrive on time: Please be in the room at least 15 minutes before the session begins
Meet the technicians: Technical assistance is available in all rooms. One technician will support the presentation setup, and another will manage audio. Take a moment to introduce yourself.
Coordinate with speakers: Welcome the speakers and briefly review the schedule.
Time management: Remind speakers to reserve about 5 minutes at the end of their talk for audience questions.

During the Session

Open the session: Provide a brief introduction of the topic and the speakers.
Keep track of time: Ensure each speaker stays within their allotted time. Use subtle signals if needed.
Moderate the Q&A: Lead the question round after each presentation. Microphones are available for audience members.
Encourage engagement: Invite questions from the audience while keeping the session flowing smoothly.

Sala 0B During the Q&A, a hostess will be available to pass the microphone around the room.
Sala 0A There will be stand microphones placed in the room, which participants can walk up to when they have questions.
Sala 0D There will be stand microphones placed in the room, which participants can walk up to when they have questions.
Sala 0E During the Q&A, a hostess will be available to pass the microphone around the room.
Sala 0C There will be stand microphones placed in the room, which participants can walk up to when they have questions.

After the Session

Thank the speakers and audience: Close the session with a short thank-you.
Share announcements: Provide any relevant updates about breaks, upcoming sessions, or room changes.
